1. Introduction

Faxend is a digital fax transmission service operated by Obzena LLC, a company registered in the State of Wyoming, United States. This Privacy Policy describes how we collect, use, and protect your information when you use our website (faxend.com) and our iOS and Android mobile applications (collectively, the "Service").

By using Faxend, you agree to the practices described in this policy. If you do not agree, please discontinue use of the Service.

2. Information We Collect

We collect the following types of information:

• Account Information: Email address and password when you create an account.
• Transaction Data: Recipient fax number, date and time of transmission, number of pages sent, and delivery status.
• Payment Information: Processed securely through third-party payment processors (e.g., Apple In-App Purchase, Google Play Billing, Stripe). We do not store your credit card details.
• Device Information: Device model, operating system version, and app version for diagnostic purposes.
• Identifiers: A random account ID created when you first open the app (no name, email, or phone number), and the Firebase app instance ID. The same random account ID is used by Firebase, RevenueCat, and Sentry so we can connect a purchase, a fax, or an error to the right account when you contact support.
• Usage Data: Pseudonymous usage analytics linked to the random account ID above (no name, email, or phone number). In the mobile apps this covers the in-app steps you take, such as adding a document, sending a fax, making a purchase, and the status of your faxes, along with page counts, error codes, and only the country code of the recipient fax number (for example +1). The full fax number and the content of your documents are never included in analytics.
• Crash and Error Reports: When the app crashes or an error occurs, we receive a report with the device and app details above, the random account ID, and the in-app steps that led to the error.

3. Fax Content: Zero Storage Policy

Faxend does not store, retain, or archive the content of your faxed documents.

When you upload a document and initiate a transmission, the file is processed in real-time through our secure pipeline and transmitted to the recipient via our third-party fax delivery partner, Sinch (sinch.com). Once the transmission is complete (whether successful or failed), the document content is immediately and permanently deleted from our systems.

We retain only transmission metadata (recipient number, timestamp, page count, and delivery status) for your activity history and receipt records. No document content is ever stored, cached, or backed up on our servers.

4. Third-Party Services

We use the following third-party services to operate Faxend:

• Telnyx (telnyx.com) and Sinch (sinch.com): Fax transmission providers. Telnyx is our primary carrier and Sinch is a backup. They process your documents solely to deliver faxes and are subject to their own privacy policies.
• Apple (App Store): For iOS app distribution and in-app purchases.
• Google Play: For Android app distribution and in-app purchases (Google Play Billing).
• Firebase (Google): For authentication, analytics, crash reporting (Crashlytics), and cloud infrastructure.
• Sentry (sentry.io, Functional Software Inc.): Crash and error reporting for the mobile apps. Sentry receives the device model, operating system version, app version, the random account ID, and the in-app steps before an error. It does not receive fax numbers or document content. Error reports are kept for up to 90 days.
• OpenAI (openai.com): Powers the AI assistant in the in-app support chat. The messages you type in the support chat are sent to OpenAI to generate a reply. Please do not include sensitive personal information in support chat messages.
• RevenueCat (revenuecat.com): Manages in-app subscriptions and purchases made in the iOS and Android apps.
• Stripe (stripe.com): Processes payments made on faxend.com. We never see or store your full card number.
• Microsoft Clarity (clarity.microsoft.com): On faxend.com only, Clarity shows us how visitors use the website through heatmaps and session replays (clicks, scrolling, pages viewed, device and browser type, approximate location). Text you type into forms is masked. Clarity sets cookies, and Microsoft processes this data under the Microsoft Privacy Statement. You can block these cookies in your browser. The Faxend apps do not use Clarity.

We encourage you to review the privacy policies of these third-party providers.

5. How We Use Your Information

• To provide, operate, and maintain the Service.
• To process and complete fax transmissions.
• To send you transaction confirmations and delivery receipts.
• To provide customer support.
• To detect and prevent fraud or abuse.
• To improve and optimize the Service.

6. Data Security

We employ industry-standard security measures, including AES-256 encryption for documents in transit, TLS/SSL for all network communications, and secure cloud infrastructure. While no system is 100% secure, we take every reasonable precaution to protect your data.

7. Data Retention

Account information is retained for as long as your account is active. Transmission metadata (logs) is retained for up to 90 days. Document content is never retained. It is deleted immediately after transmission.

8. Your Rights

You may request to access, correct, or delete your personal data at any time by contacting us. You may also request a copy of all data we hold about you. We will respond to all requests within 30 days.

9. Children's Privacy

Faxend is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date. Continued use of the Service after changes constitutes acceptance of the revised policy.

11. Faxend for Chrome (Browser Extension)

The Faxend for Chrome extension sends the same kind of fax as faxend.com, from a panel in your browser.

• What it sends to Faxend: the recipient fax number, the documents you attach, your optional cover note and, only when you choose “Fax this page”, an image of the page you are viewing (or the PDF you have open). These are sent to Faxend's servers solely to deliver your fax and are handled under the Zero Storage Policy in section 3.
• What it keeps on your device: your unsent draft (fax number, cover note, attached documents), the identifier of your Faxend plan, and the status of your recent faxes. This stays in your browser's extension storage and is removed when you uninstall the extension.
• Pages you visit: the extension does not read, collect or track your browsing. It reads a page only when you ask it to fax that page. On faxend.com/send/ it reads the checkout reference that Stripe adds after your payment, so the waiting fax can be sent.
• Payments: checkout happens on Stripe's website. The extension never sees your card details.
• No sale or advertising use: data from the extension is not sold, shared for advertising, or used for anything other than sending your fax and supporting your account.
